RUB has developed the Research Data Management System (ReSeeD) as a service for RUB staff and their collaborators to manage, archive or publish research data. ReSeeD is available at this URL: https://rdms.rd.ruhr-uni-bochum.de/. This is a set of "frequently asked questions" (FAQ) about the RUB ReSeeD Service.

What is research data management (RDM)?

The management of research data includes measures for the organization, preservation and documentation of the data. It aims to keep data accessible, understandable and thus reusable even after the project has ended.

What is ReSeeD?

The Research Data Management System (ReSeeD) is the service which RUB has developed to support its staff (and their collaborators) to manage, archive or publish research data.

Who can use ReSeeD?

ReSeeD is available to all researchers at Ruhr University Bochum who have a RUB LoginID with staff status. Note that staff status may not be granted to all RUB members, such as scientific staff at RUB’s university hospitals or student research assistants.

You can check whether your LoginID has staff status via RUB's Identity Management system (only in German). Navigate to "Account-Informationen" (account information) and then checking your "Rollen" (roles).

The ReSeeD service provider can create accounts for external (non-RUB) collaborators or RUB researchers without staff status using their ORCID iD, provided a RUB staff member submits the request. This requires their full name, email adress, and ORCID iD. Please see the documentation on Account Provisioning for more information.

Do I need to login to use ReSeeD?

Some of the works (datasets) in ReSeeD are publicly available, but others are not. In the latter case, the works (datasets) may be simply private to the owner, or they may be waiting to be reviewed before being published, or they may be archived. When a work (dataset) is not public then you may be able to view it if you have logged in to ReSeeD using your standard RUB loginID (if you are a RUB staff member) or your ORCID ID if you are an external collaborator.

What is a work (dataset)?

In ReSeeD, the term work (dataset) is a used to mean a discrete research data output. A work (dataset) is represented by a single metadata record in ReSeeD, together with one or more data files. Data files may be in any format.

What is a collection?

A collection is simply a logical group - or collection - of works (datasets) in ReSeeD. Collections can be defined by users for their convenience. However, it is not necessary to create a collection in order to add a work (dataset) to ReSeeD.

Why do I see an "unauthorised access" message when I try to access a particular page in ReSeeD?

ReSeeD users are able to control access to the works (datasets) that they have added to the system (although some operations must be reviewed and agreed by a Publication Manager).

When a user attempts to access a work (dataset) to which they have not been given access, an "unauthorised access" message is displayed. This might happen also for users who have not logged into ReSeeD, who attempt to access a work (dataset) which is not configured for public access.

Why do I sometimes see an error when uploading a new work (dataset)?

Sometimes an error can be displayed if you have done the following:

This can happen when the system is still processing the files that you uploaded when you initially created the work (dataset). Normally, you will be able to use the "back" button in your browser and "Save" again.

When uploading a large number of files, it is advisable to not edit immediately, as there is likely to be a series of "saves" happening in the background. This should not be an issue when uploading just a few files.

What does visibility of datasets mean?

When a user uploads a new work (dataset) to ReSeeD, the "visibility" of the work is preselected to "Private" and cannot be changed. This enforces the default which is set by RUB policy.

Thereafter, the visibility may be set automatically by the system to either "Private" or "Public", depending on what subsequent actions are taken by the owner of the work.

Private: This visibility means that the work may be accessed by the owner of the work, by other ReSeeD users with whom the owner has shared the work, and by the system Administrator and Publication Manager(s).

Public: This visibility is automatically set by the system when the owner of a work successfully completes the workflow to publish the work (see Submit your work (dataset) for review for publication in the user guide).
